"A Customer Paid on Behalf of Another Customer. What Should I do?"
This is one of the most common questions accountants and business owners ask when reconciling customer balances in their accounting software.
Let's look at a practical example.
Customer A pays ₦300,000 into your company's bank account.
₦200,000 belongs to Customer A's outstanding invoice.
₦100,000 was paid on behalf of Customer B.
After recording the payment, Customer A's account is now showing a credit balance of ₦100,000.
The first question many people ask is:
"Can I simply raise a Debit Note to reduce Customer A's balance?"
The answer is No.
A Debit Note is not the proper accounting treatment for this type of transaction.
The problem here is not that Customer A has been granted a discount or returned goods. Neither is it a supplier-related transaction. What has happened is simply a payment allocation issue between two customers.
One of the biggest mistakes accountants make is trying to fit every transaction into an accounting document because it sounds appropriate. Good accounting isn't about finding a document to use—it's about properly representing what actually happened.
The right question to ask is:
"How do I accurately reflect this transaction in my books while maintaining a proper audit trail?"
In Zoho Books, a practical and auditable approach is to use a temporary clearing account such as Undeposited Funds.
The process is straightforward:
Record the customer's payment.
Refund the excess amount to Undeposited Funds.
Record that same amount as a payment received from the customer whose invoice was actually being settled.
Apply the payment to the appropriate invoice.
By doing this:
Customer A's ledger is accurate.
Customer B's ledger is accurate.
Your bank balance remains correct.
The clearing account balances to zero.
Your audit trail is preserved.
No fictitious transactions are created.
The lesson here is simple: not every customer balance issue requires a Debit Note.
Before deciding which accounting document to use, always ask yourself:
"What really happened in the business?"
